The EU GDPR may also apply where we offer goods or services to people in the EEA.

| Marketing permissions | Whether you have agreed to receive email, SMS or other marketing and when you subscribed or unsubscribed. |
We do not routinely ask for special-category information such as health, ethnicity, religion, political views, trade-union membership or sexual orientation. Please do not send this information unless it is genuinely necessary. If reasonable adjustments or accessibility arrangements require health information, we will use only what is necessary and apply the appropriate legal safeguards.
3. How we obtain information
Most information comes directly from you when you order, create an account, choose a vehicle, request a quote, book work, upload images, contact us or visit our premises. We may also receive information from:
- payment, finance, fraud-prevention and identity-verification providers;
- couriers, suppliers, manufacturers and warranty administrators;
- social-media or advertising platforms when you message us or interact with an advert;
- public sources such as Companies House, where relevant to trade accounts or debt recovery; and
- another person acting for you, such as a family member, insurer, fleet manager or repairer.
4. Why we use your information and our lawful bases

|---|---|---|

| Use customer vehicle photographs in marketing | Images and related job information | Consent where a person, registration or other identifying detail is visible; otherwise legitimate interests may apply to properly anonymised images |
Where we rely on legitimate interests, we consider the business need, necessity and possible impact on you. You may object to this processing in certain circumstances. We will ask for consent where the law requires it, and you may withdraw consent at any time without affecting earlier lawful processing.
5. Vehicle information and photographs
Vehicle information is central to our service. We use it to check compatibility, prepare quotes, identify factory equipment, diagnose faults, document vehicle condition and maintain installation, repair and warranty records. A registration number or VIN can be personal data when connected to an individual.
Please remove personal belongings and avoid including people, documents, home addresses or other unnecessary personal information in uploaded vehicle photographs. Before/after photographs taken for job records will not automatically be used for advertising. Where an image identifies you or your vehicle, we will obtain an appropriate permission before marketing use, unless the image has been effectively anonymised.
6. Payments and finance
Online payments are handled by the payment methods displayed at checkout, which may include Shopify Payments and third-party providers such as PayPal or Klarna. These providers process payment, fraud-prevention or finance information under their own privacy notices. Dream-ice normally receives confirmation, status and transaction references rather than full card details.
If you apply for finance, the finance provider may carry out identity, affordability, credit and fraud checks and may use automated decision-making. Dream-ice does not decide whether your finance application is accepted. Review the provider's privacy information before applying.
7. Cookies, analytics and online advertising
Our website uses cookies and similar technologies. Strictly necessary cookies support functions such as security, vehicle selection, account login, basket and checkout. With your permission, we may also use analytics, personalisation or advertising cookies to understand website use and measure campaigns.
Non-essential cookies must not be set before you make a choice, except where the law permits. You can accept, reject or manage them through our cookie banner and later change your choice through the cookie settings link. Rejecting non-essential cookies will not stop the basic website from working, although some optional features may be limited. Further detail, including cookie names, providers, purposes and durations, should appear in our separate Cookie Policy or cookie preference centre.
8. Marketing
We may send marketing where you have asked for it or where the law otherwise permits us to contact existing customers about similar products and services. Every electronic marketing message will include an unsubscribe method. You can also opt out by contacting us. Service messages about an order, appointment, safety issue, warranty or product recall are not marketing and may still be sent.
If you opt out, we may keep limited contact details on a suppression list so we can honour your preference and avoid adding you back accidentally.
9. Who we share information with
We share only what is reasonably necessary with trusted organisations such as:
- Shopify and providers that host, secure and support our online store;
- payment gateways, banks, finance providers and fraud-prevention services;
- couriers, delivery and collection partners;
- product manufacturers, distributors, installers, warranty administrators and technical-support providers;
- email, SMS, customer-service, review, analytics and advertising providers where enabled;
- accountants, insurers, solicitors, IT/security specialists and debt-recovery advisers;
- HM Revenue & Customs, regulators, law-enforcement agencies, courts and other authorities where required; and
- a buyer, investor or adviser involved in a genuine business sale, restructuring or financing, subject to appropriate confidentiality and data-protection safeguards.
We do not sell your personal information. Each independent payment, finance, social-media or delivery provider may also act as a separate controller for its own purposes; its privacy notice will explain that use.
10. International transfers
Some providers may store or access information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an adequacy regulation, recognised contractual clauses, the UK International Data Transfer Agreement or Addendum, or another lawful mechanism. You may contact us for information about the safeguard used for a relevant transfer.
11. How long we keep information
We keep information only for as long as reasonably needed for the purpose collected, legal requirements and the establishment, exercise or defence of legal claims. Typical periods are:
| Record | Typical retention |
|---|---|
| Orders, invoices, payments and core customer records | Normally 6 years after the end of the relevant financial year or customer relationship, to meet tax, accounting and legal requirements. |
| Quotes and enquiries that do not proceed | Normally up to 24 months after the last meaningful contact, unless a dispute or legal reason requires longer. |
| Workshop, installation, repair and warranty records | Normally 6 years after completion, or longer where reasonably required for a stated warranty, safety issue or legal claim. |
| Website accounts | While active, then normally up to 24 months after closure, except records that must be retained for another reason. |
| Marketing contacts | Until you opt out or the information is no longer useful; suppression records may be retained to honour the opt-out. |
| CCTV | Normally up to 30 days, unless footage is required to investigate an incident, protect legal rights or comply with law. |
| Cookie and analytics data | For the period shown in the cookie preference centre or provider information; aggregated anonymous statistics may be kept longer. |
| Vehicle photos and uploads | For the related enquiry/job retention period, unless deleted sooner or separately authorised for ongoing marketing use. |
We may securely anonymise information so it can no longer identify anyone. Anonymous information may be kept for statistical and business analysis.
12. Security
We use proportionate technical and organisational measures intended to protect personal information against accidental loss, misuse, alteration, unauthorised access or disclosure. Access is limited to people and providers who need it for legitimate purposes and are subject to appropriate duties. No internet service is completely secure, so please use a unique password and contact us promptly if you believe your account or information has been compromised.
We have procedures for suspected personal-data breaches and will notify the Information Commissioner's Office and affected individuals where the law requires this.
13. Your privacy rights
Depending on the circumstances, you may have the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information where there is no lawful reason to keep it;
- ask us to restrict how information is used;
- object to processing based on legitimate interests and object at any time to direct marketing;
- receive certain information you provided in a structured, commonly used and machine-readable format, or ask us to transfer it;
- withdraw consent where processing is based on consent; and
- complain to the Information Commissioner's Office.
To exercise a right, contact info@dream-ice.co.uk. We may ask for information needed to confirm identity and protect your data. We normally respond within one month, although the law permits an extension for complex or numerous requests. Rights are not absolute, and we will explain if an exemption applies. We do not usually charge a fee unless a request is manifestly unfounded or excessive.
14. Children
Our products and services are intended for adults. We do not knowingly create online customer accounts for children or intentionally collect children's information for marketing. If you believe a child has provided personal information without appropriate authority, please contact us.
15. Third-party links and social media
Our website may link to manufacturers, finance providers, payment services, social networks or other third parties. We do not control their privacy practices. Review their notices before providing information. Content posted publicly on social media may be visible and used by the platform according to its terms.
16. Complaints and contact
Please contact us first so we can try to resolve a privacy concern:
Email: info@dream-ice.co.uk | Telephone: 01455 617374
Post: Privacy Enquiries, Dream-ice, 12A Newton Road, Hinckley, LE10 3DS
You also have the right to complain to the Information Commissioner's Office (ICO), the UK data-protection regulator. Visit ico.org.uk, telephone 0303 123 1113, or use the contact details published by the ICO. We would appreciate the opportunity to address your concern before you contact the ICO.
17. Changes to this policy
We may update this policy when our website, services, providers or legal obligations change. The latest version will be published on our website with its update date. Where a change materially affects how we use personal information, we will take reasonable steps to bring it to your attention.
